Provide high-level executive support to enable effective coordination, governance and decision-making.

The Opportunity
The Senior Executive Support provides high-level executive support to ensure the efficient operation of the Deputy Vice-Chancellor’s Office within the Division of Western Sydney and External Engagement. Working closely with the Director of Operations and the Executive Officer, the position supports critical activities, manages complex workflows and contributes to the effective delivery of divisional priorities.

The Senior Executive Support will coordinate complex calendars, meetings and events, including senior meetings with internal and external stakeholders. This includes preparing agendas, briefing materials and follow-up actions, supporting travel and diary management, and ensuring the Deputy Vice-Chancellor’s time is used effectively.

As a key liaison between the Executive and a broad range of University and external stakeholders, the role requires clear communication, sound judgement and discretion. The position also coordinates committee documentation, supports project tracking, maintains accurate records and contributes to compliant, professional and responsive office operations.

What Success Looks Like:

  • Complex calendars, meetings and events are coordinated accurately and aligned with strategic priorities.
  • Agendas, briefing materials, reports, committee papers and follow-up actions are prepared to a high standard.
  • Trusted relationships are maintained with internal and external stakeholders through clear and timely communication.
  • Major project actions are monitored, tracked and followed up using sound project management approaches.
  • Office operations comply with relevant University policies, records management, WHS and equity requirements.

About You
You will bring sound judgement, discretion and confidence in supporting senior executives in a complex office environment. You will be highly organised, professional and responsive, with the ability to manage competing priorities while maintaining confidentiality and producing high-quality work.

You will also bring: 

  • Relevant vocational or tertiary training and/or extensive professional experience in a senior executive office setting.
  • High-level organisational, communication and problem-solving skills.
  • Proven ability to manage competing priorities and maintain confidentiality.
  • Strong written and verbal communication skills, including document preparation and editorial support.
  • Proficiency in Microsoft Office products, with a high level of digital literacy.
